1. Who is responsible
Tania Kunnemann trading as HootStitch is responsible for personal information processed for the business. Contact [email protected] or the business address above for privacy queries. Matt Jord Collective is not HootStitch’s owner; authorised website maintenance may involve access to information needed to provide support.
2. Information we collect and why
We process information you supply in enquiries, accounts and orders: names, contact details, billing and courier details where relevant, artwork, specifications, correspondence, order history and payment references. Website systems also process technical information such as IP addresses, session identifiers and security logs.
We use this information to respond, prepare quotations, fulfil orders, manage accounts and downloads, arrange requested courier services, maintain necessary records and protect the service. Processing relies on applicable lawful grounds, including steps requested before a contract, contract performance, legal obligations, legitimate interests where appropriate, and consent where required. Essential information is needed to provide the requested service; optional permissions can be declined.
Please do not upload unnecessary identity documents or sensitive information. Tell us before supplying artwork containing confidential material or identifiable children so appropriate handling can be agreed.
3. Hosting, service providers and access
Our website is hosted through HostGator and the shop uses WordPress and WooCommerce. Information may be held in website records, business email and backups, and accessed by Tania and authorised support personnel for their work. Necessary recipient and address information is shared with a courier only for requested shipping. Providers may operate infrastructure outside South Africa; any transfer must meet applicable POPIA requirements. We do not represent that all information stays within South Africa.
Payfast and PayPal are planned, not currently active. We will update payment and privacy information when these services are enabled. Do not send full card details or account passwords by email or through enquiry forms.
4. Security and retention
We are responsible for appropriate technical and organisational safeguards and for limiting access to legitimate business purposes. No website or email system can guarantee absolute security. Contact us promptly about suspected unauthorised access.
Information is retained for as long as necessary for the relevant order, account, support, accounting, legal or dispute purpose. Retention depends on the record and applicable obligations; this policy does not authorise indefinite retention or optional reuse. Customers may ask us to review information held about them. We explain any lawful reason preventing immediate deletion, including relevant backup or recordkeeping requirements.
We assess security incidents and notify affected individuals and the Information Regulator where legally required.
5. Cookies and browser storage
The shop uses account and session mechanisms to support sign-in, shopping functions and preferences. Enquiry forms use browser session storage to manage submissions. Hosting and security services may set cookies needed to operate and protect the website. Private studio previews may save preferences or draft selections on the reviewing device. Browser controls allow you to clear or restrict stored data, although doing so can interrupt sign-in, preferences or forms.
We will explain any additional optional tracking introduced and obtain consent where required. This notice does not give blanket permission for advertising or unrelated tracking.
6. Messages and artwork permissions
Order and service emails are used to handle your enquiry or purchase. Promotional messages require an appropriate legal basis and an opt-out. Artwork supplied to fulfil an order is not automatically available for public portfolio use, machine demonstrations or resale. Optional portfolio and demonstration permissions are requested separately. You may withdraw consent for future optional use by contacting us; necessary order records may still be retained lawfully.
7. Your requests and complaints
Contact [email protected] to request access, correction or deletion where applicable, object to processing or withdraw consent. We may verify identity proportionately and will explain any applicable limitations. You can also complain to South Africa’s Information Regulator at https://inforegulator.org.za/ .
8. Updates
This policy is effective from 26 October 2026. We will publish updates when our practices or services change and communicate material changes appropriately. Contact us for clarification about a specific provider, record or processing purpose.
