1. About HootStitch
These terms cover our website, quotations, embroidery, digitising, garments and digital products. The supplier is identified below. Matt Jord Collective provides website support and is not the owner or seller of HootStitch products.
2. Products and availability
Our clothing catalogue contains existing HootStitch designs made to order. Personalised orders use customer-selected artwork, names or other specifications. We work with both HootStitch-supplied and customer-supplied garments. Availability of garment colours, sizes and suitable materials is confirmed before a final quotation. Screen colours and illustrations are guides; any material limitations will be explained before approval.
Digital listings must state the included files, required software or machine compatibility, intended embroidery size and applicable licence. A listing does not promise compatibility with every machine or application.
3. Quotations and ordering
An enquiry or automated estimate is not a final quotation. Where artwork, garment suitability or courier costs need assessment, we issue a final quotation after review. Quotations remain valid for 15 calendar days from delivery of the quotation; the expiry date is shown on it. Expired quotes require reconfirmation.
The final quote identifies the goods or services, quantities, specifications, digitising and embroidery charges, any courier charge, total payable and expected completion time. Customers can correct details before acceptance. We confirm acceptance and availability before requesting payment. Changed specifications require an agreed revised quotation; no additional charge is imposed without approval.
4. Prices and payment
Final South African quotations are in rand (ZAR). HootStitch does not charge VAT. Any foreign-currency browsing estimate is not a promise that payment in that currency is accepted.
Full payment of the accepted quote is required before work starts. EFT is currently available to South African customers. Proof of payment alone does not establish cleared funds. Payfast and PayPal are coming soon, subject to setup and approval. They are not currently available for payment; we will update these policies and payment information when they become available.
Bank details are provided through the confirmed order process. Query unexpected changes using our published telephone number before transferring funds.
5. Production and capacity
Orders of 1–50 physical items have an expected production period of up to five working days; 51–99 items, up to ten working days. Working days exclude weekends and South African public holidays. Timing starts when payment has cleared, required artwork approval has been received, and garments are available or received and accepted. Courier transit is additional. We will discuss delays and available options promptly.
We accept no more than 99 physical items per customer across a rolling 30-day period, including separate orders. Digital files are not counted. Capacity is checked before acceptance and payment. We do not accept payment for quantities we cannot accommodate.
Existing downloadable products are released after payment confirmation. Custom digitising is a service with a completion estimate on its quote; it is not an instant catalogue download.
6. Artwork approval and revisions
Customers must check spelling, dimensions, placement, colours, garment sizes and quantities before approving the final specification. Approval does not excuse a failure by HootStitch to follow that specification.
Digitising includes two consolidated rounds of revisions within the agreed brief. Further rounds cost R150 each, approved before work proceeds. New artwork or substantial changes may require a fresh quote. Corrections to HootStitch errors are free and do not use the included revision rounds.
7. Supplied garments
Customer garments are assessed for condition and suitability before acceptance. Customers should disclose known fabric treatments or defects. Specific risks and any need for a test piece or spare garment are discussed before work begins. We document existing damage where relevant. Acceptance of a disclosed fabric risk does not waive rights concerning our own defective work or negligent handling.
8. Artwork, files and permission
Customers retain their existing rights in supplied artwork and must have permission for the requested reproduction. They authorise HootStitch to adapt and reproduce it for the agreed order. Original artwork rights are distinct from rights in a newly created stitch file: the quote must specify which files are supplied and their permitted use before payment.
Portfolio display and machine demonstration require separate optional permission. Neither permission authorises resale, licensing to others or production for other customers. Refusing optional permission does not prevent an order. Requests to stop future optional use can be sent to our email address.
HootStitch catalogue downloads carry the licence disclosed with the product. Customers must not assume that buying a download transfers copyright or permits redistribution of the file.
9. Accounts and website use
Keep account credentials private and provide accurate contact information. Accounts provide access to the orders and downloads assigned to that account. Contact us if access fails or you suspect unauthorised use. Do not upload unlawful material, malicious files or artwork you lack permission to use, or interfere with website operation.
10. Other policies and disputes
Read our Refunds & Returns, Cancellation, Collection & Courier and Privacy policies with these terms. Contact us first with an order reference and a description of any concern. Nothing here removes mandatory consumer rights or access to competent regulators, dispute-resolution bodies or courts. South African law applies subject to any mandatory rights applicable to the transaction. Updated policies apply prospectively; the accepted order terms remain on record.
